Our Email archiving solutions greatly simplify the daily management of mailboxes and backup for compliance or corporate governance.
Email Management Issues
Storing e-mail data now accounts for over 60% of all IT directors ongoing problems. Storing vast amounts of information causes all sorts of management and system problems. New mandatory legislation being put in place puts companies under more pressure than ever before to implement an email archive software system.
Whilst e-mail is a great way of communication, it is very poor at file management, for example send an e-mail to 1,000 individuals and that e-mail is stored 1,000 times. Now herein lies the problem, "the data explosion". Today backing up an e-mail server is becoming a constantly moving target with decreasing backup windows and ever increasing e-mail growth. Should an Email server fail, how long would it take to bring back the server and mailboxes?
Some pertinent questions:
Do you run Microsoft Exchange?
Finding Exchange storage management an issue?
Do users create .PST files?
Where are the .PST files stored?
Do you need to retain e-mails for regulations/business requirements for a number of years?
Do you have regulations that force you to monitor e-mails?
Do you have an e-mail acceptable use policy?
Are you concerned about intellectual property?
How often do you need to carry out email restores?
If you answered yes to one or more of the above our email archiving software solutions can assist.
Email Archiving the solution
Email Archiving moves emails and attachments from the Exchange server to the Email Archive Server, leaving a 3k stub file in place of the original Email message. Even though the files are removed from primary storage, navigation and recovery of the archived data is transparent to the user, who uses the same tools to access the archived data as they would for their normal online files.
Clearly with new international compliance and government legislation relating to the management and storage of e-mail archiving, something clearly needs to be done. An electronic e-mail archiving system that meets international compliance legislation, that automatically archives e-mail based on rules and policies would be the perfect archiving tool.
Our email solution provides email archiving, compliance and legal discovery functionality in a single solution. The solution reduces the e-mail server volume by 60% to 90% automatically, continuously and securely archiving e-mail directly from the server, with no client installations. Users benefit by virtually unlimited mailbox size and realtime access to archived messages.
Secondary Storage Support
An email archiving system potentially make use of any device and media type across the network for data storage. These include RAID, tape libraries, optical jukeboxes, NAS, iSCSI or any combinations thereof. The archiving system maintains a full catalogue of available devices and media, while also keeping track of media already in use.
Given this “map” of the infrastructure and the availability of media, file archiving system uses its built in intelligence to determine which media/device to use. If ever a device is not available, e-mail archiving system will use an alternative. The e-mail archiving system also provides complete robot management facilities for automated use of most standard storage devices.
Email Compliance and Regulations
Data can be both an asset and a liability. Depending on external or internal compliance regulations, files such as .doc, .xls, .ppt, . jpg .mp3 etc, might need to be archived for a specified period, other data might need to be deleted. Clearly an Email Archiving system needs to flexible to allow for both compliance regulations and individual requirements of the organisation. The data retension rules for the files must be flexible enough to allow for the files to be migrated to key storage media and deleted, when they are no longer required.
Compliance is not just a function of data retention. It is also a function of data privacy and data auditability. A compliant archive protects files from unauthorised access and at the same time, monitors and records in an audit trail all authorised access and movement of files in the archive.
